If a concentrator repair is refused under warranty, start by establishing what was found, which term is being applied and what you want reviewed. A clear record helps the conversation; it does not guarantee that a claim will be accepted.

Arrange continuity of prescribed oxygen before focusing on the dispute. A warranty enquiry, complaint or promised repair date does not provide a backup supply. Ask the supplier and treating team about an appropriate temporary arrangement and confirm any hire or delivery charges in writing.

Ask for a written decision

Request the inspection report, diagnosis, quoted repair cost and the exact warranty clause relied on. If the explanation is simply “voltage damage”, “wear” or “misuse”, ask what observations or tests support it and whether another authorised assessment is available.

Do not treat a label as a proven cause of failure. Equally, the presence of a stabiliser, a clean filter or a low hour-meter reading does not by itself prove that a fault is covered. Keep claims factual and ask the warranty provider to explain the connection between its findings and the exclusion.

Build a short timeline

Collect the purchase invoice, model and serial number, warranty terms supplied at purchase, installation information and service records. Note when the fault appeared, what alarm or symptom you observed, whom you contacted and what advice followed. Preserve original emails, messages and photographs.

Describe only what you know. If you did not measure the supply voltage during the failure, say so. A later reading is not evidence of the earlier voltage. Record any previous repair or liquid spill honestly. Do not alter logs, backdate maintenance or obtain replacement paperwork that misstates the transaction.

Before a unit is collected, photograph its exterior and serial label and obtain a receipt identifying it and the accessories handed over. Ask whether there is an inspection charge, who pays transport, and whether you must approve a paid repair before work begins.

Separate coverage from service arrangements

Even when a fault is accepted, clarify the expected next step, parts availability and how you will be updated. Ask whether any loan equipment is included or chargeable. Do not assume that one company’s turnaround promise applies to another, or that a local dealer and manufacturer have identical responsibilities.

For replaced parts, request a service record describing the work and any continuing warranty terms. If a repaired unit develops the same problem, link the new report to the earlier case number.

Escalate with a specific request

Send the warranty provider a concise account with the relevant documents and the remedy you seek, such as a review of the exclusion or clarification of a repair estimate. If the selling dealer is unavailable, use the manufacturer or importer’s independently verified contact details.
